Why does my psychology practice have a waitlist and empty sessions at once?

Most psychology practices in Australia aren't short of people looking for help. In Sydney, “psychologist near me” is searched about 5,400 times a month, and in Newcastle people search for a psychologist about 1,700 times a month. What goes wrong is which psychologist they find, and whether they book. Fixing that takes marketing matched to how many psychologists you have, done in the right order.

What's going wrong now

  • One psychologist has a waitlist, the newer ones have gaps
  • Waiting on GP referrals to fill the diary
  • Paying for SEO or ads that bring the wrong enquiries
  • Enquiries lost to voicemail and long intake forms

What our clients get

  • New clients booked with whoever has room
  • Clients who find you and choose you directly
  • Enquiries for the work each psychologist wants
  • First sessions booked online, without phone tag

We can't promise you a set number of new clients. No one honestly can. This is what we see again and again with past clients.

Case study · A chiropractor in Mackay

Our nearest proof: a chiropractor in Mackay went from 5.9 to 9.3 online bookings a day

It's a chiropractic practice, not psychology, but its new clients take the same path yours do: they find the practice on Google Maps, read the website, then book online. With three chiropractors it was already on rung two and running Google Ads. We rebuilt the website, linked every service to the Google profile, and left the Google Ads exactly as they were.

  • Online bookings a day5.99.3First 10 days after launch
  • Completed online bookings292351Six weeks before and after launch
  • Cost per booking from Google Ads$15.62$13.82Same ads, same $2,558 spend

They'd been paying for SEO before the rebuild. The new website did so well that they stopped the SEO, as we recommend on rung two, then got so busy they cut back their Google Ads too.

First, a psychology website that books new clients

Google Ads, SEO and AI SEO all send people to your website, so the website comes first, with your Google Business Profile linked to it. For most practices with one or two psychologists, those two are all the marketing they need, so that's usually where we start. We check it on the call, because some psychology practices are the exception.

  • A page for every psychologist

Clients choose the person first, so each psychologist gets a page on who they see, how they work and when they have room.

    Learn more
  • A page for each concern

Anxiety, depression, ADHD assessments, trauma, couples and teens each get a page explaining how your practice works with it.

    Learn more
  • Your Google Maps profile, linked

Each concern on your Google Business Profile points to its own page, so you show up for “ADHD assessment”, not only “psychologist”.

  • Only titles you hold

“Clinical psychologist” appears only beside psychologists endorsed on the register, and no page carries a testimonial. We check every word against the Psychology Board’s rules.

  • First sessions booked online

New clients pick a psychologist with room and book straight into Halaxy, Cliniko, Zanda or Coreplus, with Medicare, NDIS or private already chosen.

  • Get found in ChatGPT

AI SEO is built in, so when someone asks ChatGPT to suggest a psychologist nearby, it has clear facts about your practice to give.

Once your website is live

More psychology marketing services we provide

Once first sessions are booking online, four more services build on the website. Google Ads fills the caseload of each psychologist you add, and SEO comes in when you add another discipline or a second clinic.

The New Patient Growth Ladder for psychologists

One or two psychologists? Most of the time a website linked to Google Maps is all you need. Adding psychologists, or taking on provisionals? Add Google Ads to fill their caseloads. Adding counsellors, another discipline or a second clinic? Add SEO.

  1. 2+ disciplines and/or 2+ clinicsRung 3: + SEO
  2. 3+ psychologistsRung 2: + Google Ads
  3. 1–2 psychologistsRung 1: Website + Google MapsStart here

AI SEO starts with your website on rung one and grows on rung three. Telehealth doesn't change the rule: it's set by how many psychologists you have and where you practise. On the call we confirm your rung, because there are always exceptions.

How it works for psychology practices

  1. Step 1

Book your New Patient Growth Call

Thirty minutes on Zoom. We look at your website, your Google profile and what ChatGPT says about your practice, and confirm which rung you’re on.

  2. Step 2

    Get your plan

We show you the next steps for your rung and what they cost. If you don't need us, we'll say so. Then you decide.

  3. Step 3

    We interview you, then build

About an hour on your team, who each psychologist sees and how they work, then we write and build it. Live in about 30 days, and you sign off every page.

  4. Step 4

    Watch bookings, then climb

See first sessions come in online. Add Google Ads when you add psychologists, and SEO when you add disciplines or clinics.

Why psychologists work with us

  • We start with each psychologist

We interview you and your team, so every profile says who that psychologist sees and how they work, in their own words.

  • Written inside the Board's rules

Every page and ad is checked against the Psychology Board's advertising guidance: no testimonials, endorsed titles only, and no fear or urgency to push a booking.

  • Measured in first sessions

You see new client bookings by psychologist and by service, not rankings and clicks.

  • Only what your practice needs

Solo and booked out? We'll tell you to fix the website and stop there. No Google Ads or SEO until your practice needs them.

  • Works with your practice software

Halaxy, Cliniko, Zanda, Coreplus, Splose or Nookal: clients still book in the system you already run.

  • Calm, not clinical

A website that feels like your rooms: plain words, real photos of your team, and nothing that uses distress as a hook.

Psychology marketing questions practice owners ask

How much does marketing a psychology practice cost?

It depends on which services your psychology practice needs, and that only becomes clear once we've looked, so we work it out with you on a free New Patient Growth Call. Most practices with one or two psychologists only need rung one: a website and Google Maps, paid once. Google Ads and SEO are monthly, and we only suggest them when the practice is ready.

Do I need SEO or Google Ads for my psychology practice?

Usually not yet if you have one or two psychologists at one location: Google Maps and a website that books first sessions bring in most direct clients. Google Ads fits when you add psychologists and need their caseloads filled. SEO fits when you add another discipline, such as counselling or OT, or open a second clinic. That rule is the New Patient Growth Ladder. Your rung gets confirmed on the call.

We already have a waitlist. Why would we market?

Because a waitlist usually belongs to one or two psychologists, not the whole practice. Clients ask for the name they've heard, while the newer psychologists sit with gaps. Marketing that introduces every psychologist, and books new clients with whoever has room, turns one long waitlist into a fuller practice. It also lets you choose the work you want more of, instead of taking whoever calls next.

How do I fill a new or provisional psychologist's caseload?

Give each new psychologist a page of their own and send searches to it. Clients book the person, so a profile that says who they see, how they work and that they have sessions free does more than a team photo. Google Ads for searches like “ADHD assessment” or “couples counselling” can then send those clients straight to that psychologist's calendar.

Can I ask clients for Google reviews?

Carefully. The Psychology Board's guidelines rule out testimonials in your advertising, so a review that describes therapy or its results can't be repeated on your website or in ads. Asking also asks a client to say in public that they see a psychologist, which many won't want. We set up a review habit that's optional, asks about the practice (booking, the rooms, how easy it was) and is never pushed.

Can we call ourselves clinical psychologists, or say we specialise?

Only psychologists with a clinical psychology endorsement on the public register can use the title “clinical psychologist”, and the same goes for the other endorsed areas. Psychology has no specialist registration, so “specialist” and “specialises in” are best left out. A registered psychologist can say which concerns they work with and their training, as long as it’s accurate. We check every title against the register before a page goes live.

Do you work with Halaxy, Cliniko or Zanda?

Yes. We work with the practice software psychology practices use, including Halaxy, Cliniko, Zanda (Power Diary), Coreplus, Splose and Nookal. Clients still book in your system. We change what comes before it, so a new client picks a psychologist with room and the right session type: Medicare with a mental health treatment plan, NDIS, EAP or private.

How long before my psychology practice books more first sessions?

That depends on the service. Bookings from a new website show up fast: the Mackay chiropractor's online bookings rose from 5.9 to 9.3 a day in the first 10 days. Google Ads work from the day they start. Google Maps and SEO build over months. We can't promise a set number of new clients, and no one honestly can. But this is what we see again and again with past clients.

What happens on the New Patient Growth Call?

Thirty minutes on Zoom with Marlon. We look at your psychology practice the way a new client does: what Google Maps and ChatGPT show, each psychologist's page, then the steps to book a first session. By the end you know your rung and your next step, even if that step doesn't involve us.

Book your New Patient Growth Call

In 30 minutes we assess your psychology practice and give you the next best step to more bookings: whether your website is ready to book first sessions, whether your Google Maps profile is set up, and whether you need Google Ads or SEO yet.
